This Participant guide for the Duke of Edinburgh's Hillary Award covers setting up Adventurous Journeys in the DofE Online Record Book (https://onlinerecordbook.org).
This guide was developed by Auckland Challenge, but the information it contains is applicable to all Participants in Aotearoa. In some cases, your Award Leader or Award Unit may have slightly different requirements or processes. In this case you should follow those instead.
Developed by Auckland Challenge. https://aucklandchallenge.org.nz
This guide was developed using web version 2.25.3 and API version 2.25.7
This guide uses screenshots from a development environment. Some settings, options or Award requirements are not applicable to participants in Aotearoa.
You need to have your Adventurous Journeys set up in the ORB and approved before you go on them. If you don't they may not count for your Award.
We recommend you submit your journey for approval at least 3 weeks before you plan to leave so you have time to make adjustments if needed
This guide takes you through setting up and completing your DofE Adventurous Journey through the Online Record Book.
If you have any questions about Award Requirements, or any issues having your Adventurous Journeys approved you should speak with your Award Leader for more information.
This section covers setting up your Preparation and Training
For each module of training enter the date you completed that part of your training and click the "Completed" checkbox.
You do not have to do all training items in one day, and you can enter them at different times as well.
If you are doing training combined with your Practice Journey please also see Training as part of your Practice Journey
If you have completed additional training to what is listed e.g. training specific for your mode of transport, you can add it at the bottom of the list.
Every time you make changes to your activity completion make sure to click "UPDATE" at the bottom of the page to save your progress.
Once you have completed all the training items click the "SEND REPORT" button at the top of the page to send your training to your Award Leader for signoff.
If you have additional documents such as a certificate of participation you can upload these under the Files tab to send them to your Leader
Once submitted your Award Leader will either sign off your training or return it to you with a note for what needs changing for it to be accepted.
These screenshots show the Practice Journey as Optional. In Aotearoa the Practice Journey is mandatory except in extremely limited circumstances. This variation is due to the use of a development environment for the creation of this guide.

IMPORTANT: You must set up your journeys in the Online Record Book and have them approved by your Award Leader BEFORE you go on the journey. If you don't there is a chance your journey will not count for your Award.
The Online Record Book is an International system catering for the Award in many different countries. Aotearoa does not offer a virtual Practice or Qualifying Journey option.
Enter the basic details for your Adventurous Journey.
In the notes field you could include a link to your planning documents, a link to the provider's website, or any other relevant notes. This is not the place to put your end of journey report.
For a Practice Journey, the Supervisor will be emailed a link to complete their report on your progress. If you aren't sure of the role of the supervisor or assessor have a look at our Roles and Responsibilities document
Your Award Leader will then review your Journey for Award Suitability. They will either approve it for your Award or return it to you with changes you will need to make.
At this point you can also upload any additional documents or files (such as planning paperwork) to the Files tab of the Practice Journey.
Your Journey is not considered suitable for use for your Award until you get a notification it has been approved.
You will receive a notification in the Online Record Book when your Journey has been approved.
You can update, review, or edit your Journey details from the Overview tab of the Journey.
This section covers setting up your Qualifying Journey.

This section covers some specific circumstances and cases that may apply to some journeys
If you are doing a combined Practice/Qualifying you need to make sure it is long enough to cover the minimum days for both journeys for example at Bronze:
Practice: 1 day, 1 night
Qualifying: 2 days, 1 night
Minimum Combined Journey Length: 3 days, 2 nights.
If you are doing a combined Journey e.g. Practice and Qualifying in one go you will need to set it up with the Practice Journey being the first few days of the journey (depending on your level) and the Qualifying as the last few days. All the other journey details can be copied and pasted from the Practice to the Qualifying.
In your Notes section please enter that it is a combined Journey.
If you are doing your Training as part of your Practice Journey you obviously won't be able to have it entered before you go on your Journey. Instead:
